Multiply the price per person per night by the nights and the paying people, add activities and fixed costs, and divide the total by everyone who pays. Leaders' free places aren't charged: if you want to pass them on, raise the price per person.
Each property decides. It's common to do it in proportion, for example one free place for every so many paying participants. You can set it in the calculator.
You choose: if your prices already include VAT, leave it; if not, the calculator can add the rate you enter. Check with your adviser which rate applies to you.
